Small runs of custom branded tea bags can be feasible for corporate events, trade shows and product trials, especially when a stock blend is combined with simplified custom packaging. For a fixed event date, allow around three to four weeks from approved artwork, depending on packaging, factory scheduling, holidays and destination. This guide sets out the three ways a small branded order can be built, where the time goes, why all assembly is done inside the factory, and what to send us so that a quotation can be issued without a second round of questions.
1. Three ways to build a small branded order
Each route trades customisation against time and minimum quantity.

Route A is stock in Aile Herb retail packaging with no branding. It is the fastest option and suits internal tastings, sample kits or a first look at the blends before committing to a branded run.
Route B keeps a stock blend and adds your brand on the hang tag, with each tea bag placed in an individual outer pouch. This is the route most event orders take. The tag is printed to order, the pouches are assembled in the factory, and the quantity can stay small. Minimum quantity and unit price are confirmed per order, because tag printing and line changeover are fixed costs that do not shrink with the run.
Route C is full private label: printed colour box, printed labels or fully printed individual pouches. The minimums here are set by the printing suppliers rather than by us. Printed colour boxes start at 300 per design; printed labels and fully printed individual pouches start at 1,000 per design. 2. Where the lead time goes
A small order does not skip any step in the production sequence. It only shortens the filling time.

Hang tag printing runs about eight production days after artwork approval. This is the current cycle at our tea packaging partner and applies to small runs: plate making, printing, die cutting and stringing take the same time regardless of quantity.
Chinese public holidays stop the clock. The National Day holiday in the first week of October and Chinese New Year in late January to mid-February close printing houses, factories and domestic transport for a week or more, and the backlog on either side stretches lead times further. Working days and calendar days are not interchangeable in these periods. If your event falls within four weeks of either holiday, ask for the factory’s closure and last-order dates before you confirm artwork.
A worked example: an event in New York on 12 October. Counting back, the goods need to leave China by about 1 October to allow seven working days in transit plus customs; filling, assembly and release need to be complete before that; hang tag printing needs about eight production days before assembly starts; and artwork must be approved before printing begins. That puts artwork approval around 10 September, and any slip past that date runs into the National Day holiday. An order enquired about on 20 September for the same event cannot be delivered with printed tags in time, whatever the quantity.
3. All assembly is done inside the factory

Buyers sometimes propose a shortcut: send stock tea bags with existing hang tags, and have a local team stick a branded label over the tag or add the pouches on arrival. We do not supply on that basis.
For our orders, all final assembly that involves the finished tea bag, including attaching hang tags and placing units into individual pouches, is completed inside the production facility. We do not ship stock tea bags for tags or pouches to be added after dispatch, and we do not accept pre-packed goods from elsewhere for relabelling.
This is an Aile Herb production-control policy, not a destination-market legal requirement. It keeps the supplied product consistent with the approved packaging specification and the production record.
4. Logo files and print proofs

Hang tags have a limited printable area, so fine-line logos, pale colours and thin serif type may lose definition.
Send a vector file (AI, EPS or PDF) with colours specified in CMYK. If the file is RGB or a raster image, we will ask for a replacement before proofing. If your logo is light or fine, consider a darker single-colour version for the tag; we can advise once we see the file.
Before printing, we send a digital proof for written approval. The proof is used to confirm artwork, text, placement and layout. Screen colours may differ from the final printed result. A physical printed proof can be arranged where colour matching is critical, but it adds time and cost.
5. Choosing the tea
Stock herbal and fruit blends can be selected directly from our herbal tea bag range and are the fastest to fill. Classic black or green tea blends are sourced per order and confirmed at quotation stage, since they are not part of our standard range. For orders with several flavours, each flavour is a separate short run with its own changeover, which is reflected in the quotation and in the timeline.
6. Shipping to the venue: import notice and labelling

Small event orders most often fail at this stage, and it is independent of anything done in production.
United States. Food shipped to the United States for an event generally requires FDA Prior Notice under 21 CFR 1.277, including trade samples and promotional food. There is no general exemption based on small quantity or low shipment value. For air shipments, FDA must receive and confirm Prior Notice at least four hours before arrival at the first US port. Narrow exemptions exist, such as food carried by an individual for personal use or home-made food sent as a personal gift, but these do not cover a company’s promotional shipment. The foreign facility that manufactures, packs or holds the food generally must also be registered with FDA under 21 CFR 1.225; ask us to confirm the registration status of the facility that will make your order. DHL and FedEx can file Prior Notice on qualifying shipments, but the shipper still has to supply the product and facility details, so confirm the service before pickup.
Labelling. Do not assume that “not for sale” removes labelling obligations. In the United States, packaged food labelling under 21 CFR Part 101 covers the product name, ingredient declaration, responsible party name and address, net quantity and major allergen identification; even where a Nutrition Facts exemption applies, it does not automatically remove other applicable labelling requirements. In the European Union, Regulation (EU) No 1169/2011 sets the general food-information requirements, including a responsible business or importer address in the EU. Great Britain applies its own food-information framework based on the assimilated version of those rules, and UK government guidance makes clear that food businesses may still have food-information obligations when food is given to consumers free of charge. The exact treatment of free event handouts varies by market and package format, and some tea products qualify for specific exemptions. The practical approach is to prepare market-specific artwork showing at least the product name, ingredients, applicable allergens, net quantity and the responsible business details, and to have your importer or event organiser review it before printing. A brand hang tag alone is unlikely to carry all of this; the outer pouch is usually where the label information goes.
Payment and delivery
Small orders are paid 100% in advance by T/T. Delivery is by international express to the venue or your office, at about seven working days to the United States after dispatch, subject to customs clearance.
7. What to send us for a quotation
With these, we can confirm feasibility against the calendar, issue a quotation and send a digital proof.
FAQ
What is the minimum quantity for custom branded tea bags?
For stock blends with a branded hang tag and individual pouch, minimum quantity and price are confirmed per order; runs of a few hundred pieces are common for events. For printed colour boxes the minimum is 300 per design, and for printed labels or fully printed pouches it is 1,000 per design.
How long does a 300-piece branded order take?
From confirmed artwork, allow about eight production days for hang tag printing, then filling, assembly and release, then about seven working days by express to the United States. Three to four weeks is a realistic total outside Chinese public holidays.
Can we send our own tags or pouches for you to attach?
Buyer-supplied printed components can be discussed, but all attaching and assembly is done inside the factory. We do not ship product for tags or pouches to be added elsewhere.
Do free promotional tea bags need FDA Prior Notice?
Yes. FDA applies Prior Notice to trade samples and gifts, with no exemption for small quantity or promotional use. Express carriers can file it for you, but confirm the service before shipping.
Do event giveaways need a full food label?
Requirements differ by market and package format, and “not for sale” does not by itself remove labelling obligations. Prepare artwork with the product name, ingredients, allergens, net quantity and responsible business details for the destination market, and have your importer or event organiser review it.
Can you do black tea or green tea blends?
Classic black and green tea blends are sourced and confirmed per order. Our stock range is herbal and fruit blends.
